Stock Levels & Branch Management
How Stock Tracking Works
Fixmo manages inventory quantities at the branch level. Each item that has Track Stock enabled maintains a separate stock count for every branch where it has been stocked. This allows multi-location shops to see exactly what is available at each location.
- Stock is recorded per branch — not as a single global number.
- Restocking adds quantity to a specific branch.
- Sales and repair usage deduct from the branch where the transaction happens.
- Items with Track Stock disabled are treated as unlimited availability.
Inventory Dashboard Stats
The top of the inventory page displays three stats cards that give you an at-a-glance overview of your inventory health.
- Total Items — the count of all inventory items in your shop.
- Total Stock — the combined stock quantity across all items and all branches.
- Low Stock — the number of items where current stock is at or below the Min Stock Alert threshold.
Keep an eye on the Low Stock card. A rising number means you may need to place supplier orders soon.
Viewing Per-Branch Stock Breakdown
To see how stock is distributed across your branches, click on any item row in the inventory list. The expanded view shows detailed information including stock levels per branch.
- 1Click on an item row in the inventory list to expand it.
- 2The expanded section shows item details including stock quantities per branch.
- 3Use this information to decide which branches need restocking.
Low Stock Alerts & Minimum Thresholds
The Min Stock Alert field, set when creating an item, defines the threshold at which Fixmo considers the item to be running low. This is a per-item setting that applies to the item's total stock.
- 1When adding a new item, set the Min Stock Alert field to your desired threshold.
- 2When total stock falls to or below this number, the item is counted in the Low Stock stat.
- 3Monitor the Low Stock card on the inventory dashboard to stay ahead of shortages.
After restocking, Fixmo automatically checks whether the item has risen above the min stock threshold and updates the Low Stock count accordingly.
Automatic Stock Deductions
Fixmo automatically adjusts stock levels when items are consumed through normal business operations. There is no need to manually reduce quantities.
- Repair parts — when an item is added as a part in a repair job, the stock at the relevant branch is reduced.
- POS sales — when an item is sold through the point-of-sale, stock is deducted at the branch where the sale occurs.
- Serial numbers — if the item has serial tracking, the specific serial unit's status changes (e.g., from In Stock to Sold or Used in Repair).
Restocking a Specific Branch
When new inventory arrives, add it to the correct branch using the restock action. This keeps your per-branch counts accurate.
- 1Find the item in the inventory list using search or filters.
- 2Click the three-dot action menu and select Restock.
- 3Enter the quantity being added.
- 4Select the branch receiving the stock.
- 5If the item has serial tracking, enter serial numbers for each unit (one per line).
- 6Click Add Stock to confirm.
