Inviting Team Members
Invitation Methods Overview
Fixmo offers two ways to add team members: Email Invite and Direct Create. Email Invite is available to both Admins and Managers, while Direct Create is restricted to Admins only. Both methods enforce plan limits and duplicate email checks before creating the member.
How to Send an Email Invite
Email Invite is the standard way to onboard new team members. The invited person receives an email with a secure link and sets up their own password.
- 1Go to the Team page from the sidebar.
- 2Click the 'Invite' button in the top right corner.
- 3Enter the team member's email address.
- 4Select a role from the dropdown: Manager, Technician, or Cashier.
- 5Select a branch from the branch dropdown.
- 6Click 'Send Invite' to dispatch the invitation email.
- 7The invitation appears in the Pending Invitations section with a 72-hour expiry.
Managers can only invite Technicians, and only to their own branch. Admins can invite Managers, Technicians, and Cashiers to any branch.
How the Invite Accept Page Works
When a team member clicks the invitation link in their email, they are taken to a public page at /invite/[token]. This page displays the shop name, the role they have been invited for, and the branch they are assigned to. The member enters their full name and creates a password (minimum 6 characters) to complete the signup. Once submitted, their account is activated and they can log in immediately.
Direct Create (Admin Only)
Admins can also create a team member directly without sending an email. This is useful when you want to set up an account on behalf of someone and hand them their credentials in person.
- 1Go to the Team page from the sidebar.
- 2Click the 'Invite' button and switch to the 'Create Directly' tab or option.
- 3Enter the member's name, email address, and a password.
- 4Select a role: Manager, Technician, or Cashier.
- 5Select a branch assignment.
- 6Click 'Create Member' to immediately create the account.
Direct Create does not send any email. Share the login credentials with the new member directly. They can change their password later from their profile.
Manager Invitation Restrictions
Managers have limited invitation capabilities compared to Admins. A Manager can only invite users with the Technician role, and the branch is automatically set to the Manager's own branch. Managers cannot invite other Managers or Cashiers, and they cannot assign members to branches other than their own.
Resending and Cancelling Invitations
Pending invitations can be managed from the Team page. If an invite has not been accepted or has expired, you have two options.
- Resend Invite — click the resend button on a pending invitation to generate a new email with a fresh 72-hour token. The old token is invalidated.
- Cancel Invite — click the cancel button to remove the pending invitation entirely. The invited email can then be re-invited from scratch if needed.
Duplicate Email Detection
Before any invitation is sent or a member is directly created, Fixmo checks the email address against two lists: existing active team members and pending invitations. If the email is found in either list, the action is blocked and an error message is displayed. This prevents duplicate accounts and conflicting invitations.
