The words this software uses

Repair shops and accountants do not use the same vocabulary, and software usually picks one. These are the terms Fixmo uses and what each one means.

Advance payment

Money taken when a device is booked in, before any work is done. A fixed amount or a percentage, and it comes off the final bill. Also called a deposit.

Branch stock

The quantity of one product held at one location. The product is defined once for the shop; the count belongs to the branch, so two branches never share a number.

Capital asset

Something the shop bought and keeps, rather than sells. A soldering station, a display cabinet, a van. Recorded with its purchase price, date and eventual disposal.

Combo product

A bundle sold as one line at one price, built from other products. Selling one takes each component out of stock at the quantity the combo names.

Commission agent

Someone outside the shop who brings in work and earns a cut of it. Paid as a percentage, a fixed amount, or a rate per product or service.

Credit note

A document recording money given back to a customer, raised automatically when a refund is processed. It links to the invoice or sale it credits.

Device type

A category of thing the shop repairs, defined by the shop rather than fixed. Each type carries its own intake questions, so a laptop is asked different things from a phone.

Exchange leg

One half of a swap. The return leg is a refund with a credit note; the replacement leg is a new sale with a new invoice. The original sale is never edited.

Goods receipt

A record of one delivery against a purchase order: what arrived, how many, any serial numbers, and who checked it in. One order can have several.

Oversell cover

What Fixmo records when something is sold or fitted that the count says is not there. The sale completes and the shortfall is written down with its source, rather than stock going negative.

Owner transaction

Money the owner puts into the shop, or takes out of it. An injection or a drawing. Keeping these separate is what stops the owner's money and the shop's money blurring together.

Payment account

A real place money sits: a cash drawer, a bank account, a mobile wallet. Not the same as a payment method. Card is a method; the bank account it settles into is an account.

Payment method

How a customer paid. Cash, card, bank transfer and online are built in, and a shop can add its own for whatever is used locally.

Permission scope

How far a person's access reaches within a module: their own records, their branch, or everything. Separate from whether they can use the module at all.

Price override

A line sold for something other than its list price. Recorded with both prices, the quantity, the person and the transaction, so discounting is visible rather than invisible.

Purchase order

An order placed with a supplier, moving through draft, ordered, partially received, received and stocked. Partially received exists because deliveries arrive short.

Quotation tier

One of three grouped versions of the same quote: good, better and best. The customer chooses between options rather than accepting or refusing a single price.

Repair stage

Where a job has reached, out of eight: received, diagnosing, waiting parts, repairing, testing, ready, delivered, cancelled. Fixed, so the same word means the same thing in every branch.

Reservation

A temporary hold on stock while a customer checks out on a connected website. It expires on its own, so an abandoned basket does not tie up stock.

Serial unit

One physical item tracked by its serial number, with its own state, branch and warranty expiry. A quantity says how many you have; a serial says which one you sold.

Share token

The identifier in a customer's tracking link. It is not a countable number, which is what lets the page be opened without a login.

Tax inclusive

That a price already contains its tax, so the tax is worked back out of it rather than added on top. Set per shop, and overridable per item.

Variable product

A parent product with variations under it, each with its own price, stock, serial numbers and suppliers. Six colours of one case, not six products.

Warranty term

A named length of cover, in days, months or years, or lifetime. Applied to an item, and turned into a real expiry date on the unit when it is sold.

Weighted average cost

The cost price recalculated when stock arrives, weighted by the units entering. A large delivery at a new price moves the cost more than a small one does.

Wholesale price

A second stored price on an item, for customers who buy in quantity. Kept apart from cost and retail, so trade margin stays visible.
