What Loyalty Points Do

Loyalty points reward customers for the money they pay you. They earn points on paid sales, delivered repairs and invoices, spend them later as a discount, and carry a tier badge showing how much business they brought in over the last twelve months. Loyalty is part of the Pro and Business plans, and it stays off until an admin switches it on.

How to Set Up Loyalty Points

An admin sets the programme up once in Settings. Every value can be changed later.

  1. Open Settings and choose Loyalty.
  2. Under Earning, enter how much a customer must pay to earn one point.
  3. Under Spending, enter what one point takes off a bill. The page shows the percentage of each purchase this gives back.
  4. Set the fewest points a customer can use at once, and the largest share of a bill that points may pay, up to 90%.
  5. Turn on expiry if unused points should lapse after a number of months with no purchase or redemption.
  6. Under Tiers, enter a spend or a visits threshold for Silver to Diamond, or click Suggest from my last 12 months.
  7. Switch Loyalty points on and click Save.

Note

Points start at zero on the day you switch the programme on. Fixmo also rebuilds every customer's tier history from past sales and repairs. That runs in the background, and the Loyalty settings page says when it has finished.

How Customers Earn Points

Points are earned on money actually received, after discounts. Fixmo counts each sum of money once, on the bill it was really paid for.

  • A sale earns when it is paid.
  • A repair earns once, when it is marked Delivered. The advance and the balance are counted together.
  • An invoice you create on its own earns as each payment is recorded.
  • An invoice made from a repair or a sale earns nothing on top of it, including one raised automatically.
  • A refund takes back the points on the refunded amount. Voiding a sale or an invoice, or cancelling a repair, takes back all of them.
  • A payment recorded beyond a bill's total earns nothing.
  • Each tier can have a points multiplier, from 1x to 10x, so a Gold customer can earn faster than a Bronze one.

How to Use a Customer's Points

A customer can spend points as a discount at the till, on a repair bill before the repair is delivered, or on an invoice you created on its own. Points come off a bill once.

  1. At the till, add the items and select the customer.
  2. Next to the customer's points, click Use points.
  3. Enter how many points to use. The box shows the most this bill allows and how much the points take off.
  4. Click Apply. The total drops, and the points are taken when the sale is saved.

Tip

On a repair, Use points is in the cost breakdown. On an invoice, it is under the totals while there is a balance to pay. If a sale or an invoice is voided, a repair is cancelled or a sale is fully refunded, the points spent on it go back to the customer.

How Tiers Work

Tiers rank customers by their last twelve months, not by their whole history. The tier shows as a small badge next to the customer's name across Fixmo.

  • Bronze: any visit in the last twelve months.
  • Silver to Diamond: the spend or the number of visits you set. Reaching either one is enough.
  • A visit is a day with a purchase, a repair brought in, or an invoice made on its own. Several on one day count once.
  • A customer moves up as soon as they qualify, and drops one level a month after they stop qualifying.
  • You can rename the five tiers and change their colours.

Points on the Customer's Profile

Each customer's profile has a Loyalty card. It shows their balance and what it is worth, their spend and visits in the last twelve months, what the next tier needs, their tiers month by month, and every point earned, spent, given back or adjusted, with the bill it came from.

  1. To change a balance by hand, open the customer's profile.
  2. On the Loyalty card, click Adjust points.
  3. Enter the number of points and the reason.
  4. Click Add or Remove.

Note

Only admins can adjust points, unless the owner grants it to another role in Roles and Permissions. The reason stays in the customer's points history.

Switching Loyalty Off

Switching the programme off hides every badge and the points controls. Payments taken while it is off never earn points, even after it is switched back on. Refunds and voids still take points back once it is on again. Balances, tiers and settings are kept.

Who Can Do What

These are the defaults. The owner can change them in Settings, Roles and Permissions.

  • Admin: sets up the programme, spends points and adjusts balances.
  • Manager: sees points and tiers, and spends points on a bill.
  • Cashier: sees points and spends them at the till.
  • Technician: sees tier badges, and cannot spend points.

Frequently asked questions

No. The points belong to the repair. An invoice made from a repair or a sale, whether you raised it or Fixmo raised it automatically, never earns on top. Only an invoice you create on its own earns points.

The advance and the balance are added together and earn once, when the repair is marked Delivered. A payment recorded beyond the bill's total earns nothing.

Not through Fixmo yet. Receipts and invoices show the points spent on that bill, but not the balance, and Fixmo sends no message about points. Staff can read the balance at the till or on the customer's profile.

Tiers look only at the last twelve months. When a customer stops qualifying for their tier, they drop one level each month until they reach the tier they qualify for now.

A bill keeps the rate it first earned at, so changing the rate does not change points already given. New bills earn at the new rate.
