What Store Credit Is

Store credit is money's worth a customer holds at your shop. It comes from two places: a warranty claim settled with store credit, or an admin adding it by hand. It is on the Pro and Business plans.

Note

A warranty claim can give store credit up to what the customer paid for the item.

The Store Credit Card on a Customer's Profile

Open the customer and find the Store credit card. It shows the balance and when each part of it runs out. Below that, the history lists every change with who made it, when and why.

  • Given: credit from a warranty claim.
  • Spent: credit used on a sale, a repair or an invoice.
  • Given back: credit returned after a void, refund or removal.
  • Expired: credit that passed its date.
  • Adjusted: credit an admin added or removed, with the reason.
  • Paid out: credit given to the customer as money.

Spending Credit at the POS

Choose the customer on the sale. When they have credit, the cart shows how much they can spend. Apply it, and the bill goes down by that amount. The customer pays the rest by any payment method.

Tip

When the credit covers the whole bill, the button reads Complete sale, paid by store credit. The sale completes without the payment step and the receipt prints.

Spending Credit on a Repair or an Invoice

On a repair, apply store credit from the repair page before the device is delivered. It can cover up to what is left to pay. On an invoice you created on its own, it can cover part of what is left to pay, but not all of it: a payment closes the invoice.

  • An invoice made from a sale uses the credit at the till, on the sale.
  • An invoice made from a repair uses the credit on the repair, before delivery.
  • Remove store credit gives it back to the customer, and you can apply a different amount.
  • Receipts, invoices and the documents the customer opens show a Store credit line.

Setting When Credit Runs Out

Go to Settings > POS and find the Store credit card. Enter how many months credit lasts, from 1 to 120, or choose that new store credit does not expire. Expired credit leaves the balance and shows as Expired in the history.

Adding or Removing Credit by Hand

An admin can add or remove credit on the customer's Store credit card, for example as goodwill after a long wait. A reason is required, and it is kept in the history.

Paying Credit Out as Money

A customer's credit can be given to them as money, but only with approval. Staff ask for the payout on the Store credit card. An admin or manager then pays it from one of the shop's accounts, or turns it down.

  1. On the customer's Store credit card, ask for a payout and enter the amount.
  2. The admins and managers get a notification.
  3. An admin or manager chooses the account and pays it. The credit comes off at that moment, and the payout is recorded as an expense in Finance.

Who Can Do What

Five permissions in the Customers module control store credit, and each can be changed in Permissions.

  • See store credit: Admin, Manager and Cashier.
  • Take store credit off a bill: Admin, Manager and Cashier.
  • Add or remove store credit by hand: Admin only.
  • Ask to pay store credit out as money: Admin, Manager and Cashier.
  • Pay store credit out as money: Admin and Manager.

Frequently asked questions

No. Store credit lowers the bill, like a loyalty discount, and the customer pays the rest in the usual way. That keeps your sales and repair revenue correct, because giving credit is not money coming in.

Only if you set it to. In Settings > POS, choose a number of months from 1 to 120, or leave it never expiring, which is how it starts. Each credit runs out that many months after the day it was given. Changing the setting does not change credit already given.

The part that runs out soonest. Credit that never expires is spent last.

A void gives all of it back to the customer, with the expiry it had before. A refund gives back the share that belongs to the refunded items: refunding items worth 30% of the bill gives back 30% of the credit. Removing credit from a repair or an invoice, or cancelling the repair, gives it all back.

Not through Fixmo yet. Receipts and invoices show the store credit used on that bill, but not the balance left. Staff can read the balance on the customer's profile and at the till.
