Permission Setups for Common Shop Sizes

Leave everything as it is. With one account there is nothing to separate, and the defaults already give you everything. There is nothing to set up.

You and one or two counter staff

The defaults are already close. Your cashiers can sell, invoice and take payment, but cannot void, approve refunds or see reports. The one decision worth making is whether they should be able to see the shop's finance figures.

  • Leave the Cashier defaults alone to start with
  • If you do not want them seeing takings, switch off 'Open Finance' for the Cashier role
  • If they need to hand money back without you, grant 'Pay out a refund', and accept the warning knowingly

Cashiers see only their own branch's finance figures by default, not the whole shop's.

A workshop with technicians

The question here is how much of each other's work technicians should see. The default is that each sees only their own jobs, which suits a shop where work is assigned. If your technicians pick up whatever is next, that gets in the way.

  • For a shared queue, set the Technician Repairs data scope to Branch
  • For a lead technician, use the People tab to widen just that person rather than the whole role
  • Leave 'Mark a job Ready or Delivered' off so somebody signs work off
  • Leave device passcodes on, since a technician cannot do the repair without them

More than one branch

The defaults already confine managers, cashiers and technicians to their own branch, and give only the owner a shop-wide view. The main decision is whether any manager should see across branches.

  • To give one manager the whole picture, use the People tab and set their Finance, Reports and Team scope to All
  • Do this per person rather than to the Manager role, unless every manager should see every branch
  • 'Branch comparison' in Reports needs a shop-wide Reports scope, and will refuse to switch on without it

Widening scope for a role widens it for every branch manager you have. If you mean one person, use the People tab.

As the shop grows

The setup that suits three people is rarely the one that suits ten. When you take on more staff, revisit the Manager role first: it carries the most segregation of duties warnings by default, and those pairings are the ones worth splitting once you have enough people to split them.
