Inventory Settings
Inventory Settings Overview
The Inventory Settings page lets you organize your stock with categories, sub-categories, and brands. A well-organized inventory makes it faster to find items when adding parts to repairs or processing sales. Only Admins can manage these settings.
Creating Inventory Categories
Categories group similar inventory items together. Fixmo supports parent categories and sub-categories for detailed organization.
- 1Go to Settings > Inventory from the sidebar.
- 2Click 'Add Category' to reveal an inline input field.
- 3Enter the category name (e.g., 'Phone Parts', 'Accessories', 'Tools') and click 'Add'.
- 4The new category appears as a collapsed card in a two-column grid. Click the card header to expand it.
Adding Sub-categories
Sub-categories provide a second level of organization within each parent category. They help you narrow down product types for faster inventory browsing.
- 1Hover over a parent category card header to reveal action icons, then click the plus (+) icon to add a sub-category (this also expands the card).
- 2An inline input field appears inside the expanded card.
- 3Enter the sub-category name (e.g., 'Screens', 'Batteries', 'Flex Cables').
- 4Click 'Add' to save it under the parent category.
When adding inventory items, you select both a category and sub-category from dropdown menus. A clear category structure saves time when your inventory grows.
Editing and Deleting Categories
Both parent categories and sub-categories can be renamed or deleted at any time.
- Click the edit icon next to a category or sub-category to rename it
- Click the delete icon to remove it
- Deleting a parent category also removes all its sub-categories
- Items assigned to deleted categories become uncategorized — the items are not deleted
Managing Brands
Brands let you tag inventory items by manufacturer. This helps with filtering and searching your inventory by brand.
- Each brand shows a usage count of how many inventory items are tagged with it
- Click the edit icon to rename a brand
- Click the delete icon to remove a brand (items tagged with it lose the brand tag but are not deleted)
- 1Scroll to the Brands section in Settings > Inventory.
- 2Click 'Add Brand' to reveal an inline input field.
- 3Enter the brand name (e.g., 'Apple', 'Samsung', 'Xiaomi', 'OnePlus').
- 4Click 'Add' to save it to the list.
Purchase Order Auto-Stock Setting
The auto-stock setting controls the stocking behavior when goods are received against a purchase order. This setting applies shop-wide to all purchase orders and can only be changed by Admins.
- Navigate to Settings > Inventory.
- Scroll to the Purchase Order Settings section.
- Toggle 'Auto-stock items when PO is received' to enable or disable the feature.
- When ON: Receiving goods immediately updates stock levels, recalculates weighted average costs, and requires serial number entry during the receipt step. The PO advances to STOCKED automatically after all items are fully received.
- When OFF (default): Receiving goods only records the arrival. A separate Stock Items step is required on the PO detail page to update stock levels, enter serial numbers, and recalculate costs. This gives you a chance to inspect or sort goods before making them available in inventory.
Enable auto-stock if your shop does not need a separate inspection or stocking step after receiving deliveries. This simplifies the workflow to a single step.
