Fixing a Wrong Value in a List

Which lists this covers

Anything your shop typed in rather than Fixmo shipping it. All of them work the same way, and all of them are managed from Settings rather than from the form where staff add values.

  • Repair field values such as RAM and Storage, in Settings > Repairs
  • Repair item types and their custom fields, in Settings > Repairs
  • Warranty terms, in Settings > Repairs
  • Inventory categories, sub-categories, brands and service types, in Settings > Inventory

Note

Staff still add a value straight from the repair or item form as they work. What moved into Settings is correcting, merging, retiring and removing one.

The menu on a row

Hover a row in Settings and a menu appears at the end of it. The same four entries appear on every list, and a badge on the row says how many records use that value.

  1. Open Settings > Repairs or Settings > Inventory, or Inventory > Variants for variant options.
  2. Find the value. Lists are in natural order, so numbers read the way a person reads them.
  3. Open the menu at the end of its row.
  4. Choose Rename, Merge into, Archive or Delete.

Rename: correct a typo

Use this when the value is right but the spelling is wrong. '64 gb' becomes '64 GB' and every repair holding it reads correctly from that moment, printed copies included.

Warning

A rename is not a way to record something different on new work. It rewrites what every existing record shows. If you want a different value from now on, add a second one.

Merge: two entries for one thing

This is the fix for a list that has 'samsung' and 'Samsung', or 'Screen Repair' twice. Pick the one you are keeping, and every repair, item and service moves onto it before the duplicate is removed.

  1. Open the menu on the entry you want to get rid of.
  2. Choose Merge into and pick the entry you are keeping.
  3. Check the count in the confirmation, which is how many records will move.
  4. Confirm.

Tip

If you try to rename an entry to a name already in the list, Fixmo offers the merge for you rather than refusing.

Archive: retire it without touching history

A brand you stopped stocking, or an item type you no longer take in. Archiving takes it out of the dropdowns for new records, and every record that already uses it keeps it, shows it and prints it as before.

  • Archived entries sit at the bottom of the list in Settings with an Archived label
  • Opening an old record for editing still shows its archived value, already selected
  • Typing an archived name on a form tells staff it is archived instead of creating it a second time
  • Restore puts it back into the dropdowns

Delete: only when nothing uses it

Delete is offered while the usage count is zero. If something does use it, the menu says what and how many, and points you at archive or merge instead. This is the rule that keeps a tidy-up from quietly emptying a field on a job you finished six months ago.

Note

Warranty terms are the exception. A sale keeps its own copy of the wording, so deleting a term changes nothing that was already sold, and it is allowed at any time.

Why the list is in that order

Fixmo reads numbers inside a value as numbers. A RAM list runs 2 GB, 4 GB, 8 GB, 16 GB, 32 GB, 64 GB, instead of putting 16 before 2 the way plain text sorting does.

  • Storage sizes are ordered by real size, so 512 GB comes before 1 TB
  • That holds when the size has words after it, so 128GB SSD, 240GB Nvme, 256GB SSD, 1TB HDD read in that order
  • Everything else runs A to Z, and capital letters make no difference to where it lands
  • Warranty terms are ordered by length, shortest first, whatever their names say
  • Payment methods and custom field names keep the order you arranged them in

Frequently asked questions

If no record uses it, open its menu in Settings and choose Delete. It is gone for good. If repairs or items already use it, Fixmo will not delete it, because that would take the value off those records. Rename it if it was a typo, merge it into the correct value if the correct one already exists, or archive it to stop it being offered.

Yes, and for a typo that is the point. Records hold the value itself rather than a copy of its spelling, so correcting '64 gb' to '64 GB' corrects every repair that holds it, including the ones you print again later. Warranty terms are the exception: a sale keeps the wording it was sold with.

Merging moves every record from one value onto another and then removes the one you merged. If 47 repairs sit on a duplicate brand, all 47 move across in a single step and the duplicate disappears. Fixmo shows the count before you confirm.

Archiving takes a value out of the dropdowns for new records while every record that already uses it keeps it, still shows it and still prints it. Deleting removes the value itself, so it is only offered while nothing at all uses it. Archive is the right choice for something you no longer sell or repair.

It follows the permission for that list under Roles & Permissions. Item types, custom fields, their values and warranty terms sit under 'Change repair settings'. Categories, sub-categories, brands and service types sit under 'Manage categories'. Variant types and options sit under 'Manage variants'. Whoever you grant a key to also needs 'Open settings' to reach the Settings pages.

Three cases are refused, and Fixmo names the one it hit. Two item types that both have a field with the same name have to have those fields sorted out first. Two categories that both have a sub-category with the same name are the same story. Two variant options cannot be merged while one product has a variant for both, because that would mean merging two products that each hold their own stock and serial numbers.
